20.1Tasks: an instruction run on your documents
A task is an instruction for the AI, run on the documents you choose. You write the instruction once—such as to summarise, extract, compare, or translate—and apply it to individual documents, a folder, or a subject. Each saved question also creates a task behind the scenes, so the task list includes them as well.
Every run uses AI credit from the workspace. Bmator checks your available credit before the execution starts.
Creating a task
To define a new task instruction, navigate to Tasks and follow these steps:
- Select New Task.
- Enter a name for your task.
- Enter your prompt in Instructions. This is what you want the AI to do, and it is sent alongside the content of the selected documents.
- Select the Context mode to determine how documents reach the AI. You can send whole documents, only the most relevant passages, or a mix. Choosing passages reduces token costs on large inputs.
- Configure the Output options to specify where each result is kept. Choose Save as Knowledge Record so Ask Bmator can cite the result, choose Save as Document to generate a file in your Library, or select both.
- Save the task.
Running a task
You can execute a task directly from the main list or from the page of the specific task:
- Select Run.
- Choose the target documents, a folder, or a subject. If any selected documents are not yet converted, you can convert them first.
- Confirm to start the execution.
Tracking runs and results
Each run is recorded in Execution History, which tracks the status, the document read, the duration, token counts, and the cost. In addition, My Executions lists every task run you started, along with its status, the content it read, its duration, and its cost.
When tasks finish with Save as Knowledge Record enabled, their outputs appear in Knowledge Records. This view lists everything the AI can read, including converted documents, answers, and task results. You can deactivate any individual record here to exclude it from every AI context.
