4.7Reading your mail in Bmator: inbox, conversations, keeping
Once you connect a mailbox, Bmator brings your correspondence into the Mail view. Your mailboxes are kept in sync every two minutes. You can monitor All inboxes at once, or focus on a single mailbox and folder. A dedicated Sent view gathers every message you have sent across all connected accounts.
Browsing and searching messages
Use List mode to choose how your mail is displayed:
- Conversations groups related message threads together.
- Messages lists every individual email separately.
To locate specific items, apply filters such as Unread, Kept, a date range, or a specific sender. The search bar examines the subject, sender, and snippet, requiring every entered word to match. The message body is included in search results once an email has been opened or kept.
Message content and privacy
Bmator fetches the body of an email directly from your mail server only when you open it. A copy is stored in Bmator only when you keep the email or file its attachments. Encrypted messages cannot be decrypted in the platform and must be read in your external mail application.
To protect your privacy, remote images are blocked by default, preventing senders from tracking when you open an email. To view them, select Load images.
Standard mail actions allow you to reply, reply all, forward, mark items as read or unread, flag messages, select Archive, or choose Move… to relocate mail.
Clicking a sender or recipient shows their contact card status. If they are already in your address book, you can complete missing contact details directly from the message signature without overwriting existing data. Fields such as family names, phone numbers, or organizations are updated only when missing, and changes require your confirmation.
Preserving knowledge and filing attachments
You can turn email messages and attachments into permanent assets across Bmator:
- Keep in knowledge: Preserves an individual email or an entire thread using Keep conversation, allowing Ask Bmator to find and cite the content even if it is later removed during mailbox cleanups.
- File into…: Converts an email attachment into a Library document that is indexed, searchable, and linked directly to the message. Bmator prevents duplicate entries by ensuring the same file is never filed twice in the same folder.
When handling several attachments simultaneously:
- Tick the attachments you need, or choose Select all.
- Choose File selected into… to store all marked files in a single folder at once. The dialog lists Recent destinations at the top for quick access.
- Choose Download selected to save the files to your computer one after another.
When a browser permits it (such as Chrome or Edge), downloading will ask where to store the file. In Firefox and Safari, downloaded files go straight to your browser download folder unless you enable the browser setting to ask where to save files.
If an existing filing rule matches the email, its destination appears as a single-click action to file directly into that specific folder. Rules configured to move or delete emails are never presented in this manner.
Tasks and calendar events
You can convert correspondence into calendar entries or tasks directly from the message view:
- Create event: Available on all messages, this opens a new calendar event using the email subject as the title, adds the people from the message, and links the source email.
- Add to Calendar: Appears on meeting invitations to insert the meeting into your default calendar using the invitation's scheduled time, location, and attendees. Once added, the message displays In your calendar with a direct link. If an updated invitation arrives, using this action updates the existing entry rather than creating a duplicate.
Neither calendar action sends an invitation or confirmation reply to the organizer or attendees.
Selecting Create a work item turns the message into a task within one of your projects, storing the message inside that project's workspace first. See the Projects chapter for complete details.
Managing a mailbox
Each Mailbox configuration page provides tools to oversee syncing and connectivity:
- Update mail retrieval on demand with Sync now, or temporarily halt processing using Pause and Resume.
- Check connection health with Test connection.
- Manage folder visibility under Folders, using Refresh from server to retrieve the latest structure from your host.
- Select Report to open the Mailbox report, displaying communication volume, folders, and top senders.
