6.7AI in projects
Bmator includes artificial intelligence features to assist with planning, tracking, and estimating work across your projects. AI actions never run automatically: nothing runs without a click, and the estimated cost is shown on the button before you click it. Furthermore, the AI never writes, assigns, shares, or sends anything on its own. Proposals are added to your project only when you explicitly confirm them.
All AI usage is billed to the project's workspace, just like any other AI action in Bmator.
Drafting and extracting work items
On the Work items page, you can use AI to build or expand your project schedule from plain text:
- Click Draft a plan with AI… to generate a structured project outline. Paste a brief into the prompt. The AI proposes phases and work items complete with durations in working days, what waits for what, and the function required for each task.
- Review the proposal: untick any items you do not want, edit names and day counts, and select assignees from among the project's people who hold the suggested function.
- Click the add button to insert the items. Dependencies are drawn automatically where the platform allows them.
- Click Extract work items with AI… to pull action items out of text. Paste an email, notes, or meeting minutes. The AI identifies tasks, along with owners and dates as written in the text.
- Keep the items you want and confirm to add them to your outline.
Nothing is written to the project until you confirm the additions.
Estimating work item effort
When viewing a single Work item, you can use historical data to guide your scheduling:
- Click Estimate with AI.
- Review the suggested duration and effort. The AI bases its suggestion on similar work completed in your projects, displaying which past items it referenced and how long they actually took.
- Click the option to use the estimate to set the duration, or ignore the proposal to keep your existing values.
Project overview and AI inquiries
On the Overview page, team members and project managers have access to project-specific AI queries and reporting:
- Ask about this project: Opens the Ask interface scoped directly to the project's documents and records, including its work items, dates, and assignees. From an answer, click Save as work item to turn the response into a project task. To expand your inquiry to the entire workspace, click Ask about everything instead.
- AI spend on this project: Displays the accumulated AI cost for the project, alongside the total for the last 30 days. Every AI action executed in the project and every question asked about it are counted here.
- Risk check: Available to project managers. Analyzes the schedule for potential delays or conflicts and lists the identified risks. Each risk includes an option to add it as a work item.
- Draft the status: Available to project managers. Generates a drafted weekly status summary based on current project progress. You can edit the text and choose to use it as the project's health note.
- Send an update…: Available to project managers. Prepares an email draft in Mail addressed to the project's people, populated with either the drafted status or the current health note. Nothing is sent until you review the draft and press the send button in Mail.
