6.1Starting a project
Projects organize the work people plan together, including team members, target schedules, and relevant materials. When you start a project in one of your workspaces, you own it and serve as its first project manager.
Creating a project
To begin a new initiative, go to the Projects page.
- Select New project.
- In the Workspace selection, choose the workspace where the project will live. In some shared workspaces, only the people chosen by administrators can create projects. If you select one of these workspaces without permission, the page states that only designated people may create projects there, prompting you to choose another workspace or contact an administrator.
- Enter a label in Name.
- Optionally, provide a description, set a Start date, and specify a Target date.
- Configure Who can see it. You can select everyone in the workspace, which allows workspace members to open and read the project while you share it with those who will make changes. Alternatively, choose to restrict access so that only the people it is shared with can see it.
- Select Create project.
To share the project after creation, use the share option located at the top of every project page, which works like sharing a document.
Viewing the Projects list
The Projects page lists your accessible projects under two views: Active and Archived.
You can locate specific records using the search box or apply filters. The list displays key details for each record, including its current Health, overall Progress, the count of open work items Assigned to me, and the scheduled Target date.
Using the project Overview
The Overview tab displays where the project stands. It presents counts and metrics for Open, Overdue, and Done this week tasks, alongside overall Progress and items Assigned to me.
Key schedule milestones and dates appear here, including the Next milestone.
The project's Health displays whether an initiative is on track, at risk, or off track, accompanied by an explanatory line. Bmator never calculates this value automatically; it must be set manually by a project manager, and everyone on the project can see it.
Project managers can use built-in tools on the Overview to evaluate status and communicate updates:
- Ask about this project opens a query interface across the project's documents and records.
- Risk check and Draft the status query the AI to assess issues or compose status summaries without writing changes directly to the project.
- AI spend on this project tracks the cumulative AI costs incurred for the project.
- Send an update… drafts an email to the project's stakeholders containing the drafted status or health note, which you can review before sending.
Linking Knowledge
The Knowledge tab tracks the Folders and Documents the project works on, as well as Emails, notes and meetings that project items were created from or connected to. Items stay stored in the Library and open directly in their respective locations.
Under Knowledge, documents are categorized by the Linked as setting:
- Input: Materials read and used by the project's tasks.
- Output: Files generated by project activities.
- Reference: Supporting documentation attached for informational purposes.
Tracking Runs
The Runs tab provides a log of activities executed for the project, sorted newest first. This includes AI tasks, question lists, and workflows started with this project selected.
Each Run entry shows its Kind, current Status, and when it Started. Selecting an entry opens the execution directly where it lives in BPMator.
